Your Shopify Pre-order Report: Orders, Exports and Sign-ups

A Shopify pre-order report answers two everyday questions: what has been pre-ordered, and who is waiting for what. Timesact answers both in the Analytics tab, with a spreadsheet export for each, and the Products page shows what's on pre-order right now.
| You want to know | Open this |
|---|---|
| Every order with a pre-order item, and its status | Analytics > Pre-order > Sales |
| A spreadsheet of what was pre-ordered | Export CSV on the Sales page |
| Which variants are on pre-order now, and how many have sold | Products, then the Pre-order tab |
| Which products shoppers are waiting for | Top Notify Me products |
| Who signed up for Notify Me | Trends over time, then the sign-up list |
| When a new pre-order comes in | Alerts (with the add-on) |
Where can I see all my pre-orders in one list?
Open Analytics > Pre-order > Sales. The page opens with two charts, daily pre-order sales and daily pre-order revenue, for the dates you pick at the top. Each report covers up to 30 days at a time, or any range on PRO. Below them is a table of your orders with a pre-order item: order number, date created, total, payment status, fulfillment status and tags.
Tabs across the table narrow it to Unfulfilled, Paid or Partially Paid orders, and the search box finds an order by its number or by a product name. The date range sets the charts and the export. The table always lists all your orders, newest first; use its tabs and search to narrow it.
Click an order to see its items, the customer, the tags and the totals. On a split payment you also see what has been paid and Balance · Due with when the balance is charged.
You can also select orders in the table and act on them together: Collect payment for balances, Release holds once stock is in, or Send shipping delay email when a date moves.
How do I export a Shopify pre-order report?
On the Sales page, choose your dates and click Export CSV. The file has one row per item for every order in that period that contains a pre-order item, with these columns:
- Order number, order date and customer email
- Product (title and variant) and product type: Preorder, In stock or Back in stock
- Quantity, unit price, line total and currency
- Payment and fulfillment status
- The customer experience template the item sold under, the label shown at checkout, and the order's tags
The export also follows the tabs and search you've applied to the table. A mixed order includes its in-stock items too, marked In stock, so filter Product type to Preorder to keep only the pre-order items.
From there, a pivot table on Product with Quantity summed gives the units you've taken per variant, and grouping by Customer email shows who ordered what.
Export report next to it downloads a two-page PDF for the same period: headline figures, a revenue trend, your top five products by units and the ten latest pre-orders. It's handy to share; the CSV holds the complete list.
Which variants are on pre-order right now?
For a live view, go to Products and open the Pre-order tab. Each variant shows its customer experience template, its start and end dates, its Pre-order quantity, Pre-order sold, its Shopify inventory and its status, such as Active or On standby. Pre-order sold is the count a pre-order limit runs against, so it tells you how much room is left on a capped run.
For units per product over a period, the Top pre-order products card under Analytics > Pre-order ranks up to 15 products by units sold in the dates you choose.
How many people are waiting for each product?
Open Analytics > Notify Me, Back in Stock and Waitlist > Top Notify Me products. It ranks up to 15 products by the number of sign-ups in the dates you choose, which shows where demand is building while items are sold out.
For the people behind those numbers, open Trends over time and scroll below the chart to the sign-up list. Each row shows the product and variant, when they signed up, the status of their back-in-stock email (Pending until the variant is back in stock, then Sent and Delivered), and whether they opened and clicked it. You can filter it by status or search by product or contact.
Export CSV on the same page downloads the sign-ups for your date range, with the contact, country, product, variant, sign-up date, status, send date, whether the alert was opened and clicked, and newsletter opt-in. Filter the Product column in your spreadsheet to get one product's list.
Under the same Notify Me, Back in Stock and Waitlist section, Purchase conversion charts the orders, items and revenue that came from signup notifications.
Can Timesact tell me when a pre-order comes in?
Yes, with the add-on. Click Alerts at the top of the Sales page to set up Pre-order created, or on Trends over time to set up Back in stock subscriber created for new sign-ups. Turn on Instant, Daily digest or Weekly digest (one or more), and send each one either to email addresses you enter or to a Slack channel. You add the add-on from Billing & Account, and the Alerts window links you there.
What do the revenue figures count?
The pre-order revenue figure adds up the pre-order items on each order, at their price before discounts, on the day the order was placed. In-stock items on the same order, shipping and tax aren't part of it. For net sales, refunds and store-wide revenue, use Shopify Analytics.
Your pre-orders in Shopify's own order list
Shopify keeps its own view too. Timesact also tags orders: Pre-order on every order that includes an item on pre-order, plus Partial Pre-order on mixed orders. In Shopify, go to Orders, add the filter Tagged with and enter Pre-order, add any other filters you need, such as Unfulfilled, then click Save to keep it as a view. Shopify's own export from that view includes the tags column.
Make the list part of your week
Pick a day each week to export the Sales CSV and look at Top Notify Me products. On a setup call, we can switch on the alerts your team wants and show you where each report lives.
FAQs
Where can I see a list of all my pre-orders?
Open Analytics, then Pre-order, then Sales in Timesact. Below the sales and revenue charts is a table of your orders with a pre-order item, with their number, date, total, payment status, fulfillment status and tags. Use the tabs or search to narrow it, and click an order to see its items and any balance due.
How do I get the email addresses of everyone who pre-ordered?
Use Export CSV on Timesact's Pre-order Sales page: every row carries the customer email. Open Analytics, then Pre-order, then Sales, choose a date range and click Export CSV. Each row is one item, with the customer email, product and variant, quantity, price, statuses and tags. Filter Product type to Preorder, then remove duplicate emails in your spreadsheet.
Which products have the most Notify Me sign-ups?
Open Analytics, then Notify Me, Back in Stock and Waitlist, then Top Notify Me products, which ranks products by sign-ups for the dates you choose. For the individual sign-ups, open Trends over time and scroll to the list, or click Export CSV to download it.
Can I get an email or Slack alert when a pre-order comes in?
Yes, with the add-on. Click Alerts on the Pre-order Sales page, switch on Pre-order created, choose instant, daily or weekly, and send it either to email addresses or to a Slack channel. For new Notify Me sign-ups, use the Alerts button on Trends over time.
Why doesn't Timesact's pre-order revenue match my Shopify sales report?
Timesact counts the pre-order items on each order at their price before discounts, on the day the order was placed. It leaves out in-stock items on the same order, shipping and tax, and it doesn't adjust for later refunds. Shopify Analytics is the place for net sales and store-wide revenue.
